[SSC_ContractAdmin] Contract Administrator's Meeting - 2/28 - Laredo, TX

Brian McGinley Brian.McGinley at tamuc.edu
Fri Mar 1 08:25:30 CST 2019

Good morning,

First, another round of applause for our gracious host, Trevor. Everything was fantastic and y'all do a wonderful job at everything you do.

Second, I apologize for the Webex cutting out just before lunch. Attempts were made to restore the connection during lunch, but to no avail.

We will be doing some housekeeping on the Dropbox account where the accumulated documents from our group are stored. Here is the link to that folder: https://urldefense.proofpoint.com/v2/url?u=https-3A__www.dropbox.com_sh_urpksnsf2dr4esq_AABALG1-2Drl5Aw9t5R6RZmpO5a-3Fdl-3D0&d=DwIFAg&c=oqyuZuih6ykib6aKiBq22_bich4AVfYGoLertJN0bEc&r=f0XD8R3hToZROZeXntptMDgI75TmQY5nDGT-fF9-ZNk&m=BW_8ytm78Z6fSEZ3aQ7_m1trGSaoHD_80AAGiSsjOgI&s=s5E1_UrJexeN_obygm336xlq6ELkY4xzNsoENXmve1Q&e=. This will contain some templates and documents which campuses have used with success and anyone is welcome to download, alter, and utilize the documents to their advantage.

The minutes from the meeting will be forthcoming within the next few days, but here are some of the action items from the meeting:

* We have our custodial quality survey through Qualtrics and until SSC on-boards everyone in the system they are currently using at TAMU, we can all use the same survey. If SSC performs your custodial work, and you want us to handle the setup of the survey, send me a list of the buildings SSC is responsible for cleaning.

* Warren was going to explore the preventative maintenance and special project sections of the contract and possibly provide some guidance for us to properly interpret and enforce that section uniformly across the system.

* Derek is going to provide the forms and process documentation for our key control. While our locksmiths remain SSC employees, the control of requests and access route through a University department.

* If anyone has a contentious issue with SSC, let the group know about the resolution. We don't necessarily need to solve every little problem as a collective group, but if you've tackled an issue, let us know the resolution via the listserv. That way, if anyone else encounters it, they're not going it alone.

That's it for now. College Station has graciously offered to host the next meeting and we're shooting for a June/July timeframe if we have enough agenda items to discuss. Commerce will host the following meeting.

Thanks for everything y'all do!

Brian
