Hello everyone,
ETAMU incomplete grades and Phys 518 Thesis grades are confusing, so here is a reminder on how this all works.
1. A student is eligible for an incomplete ONLY if there are circumstances beyond a student's control which prevents them from attending during Finals Week or the final three weeks of class. If this is the case,
* You (the instructor) need to fill out the attached form, Plan For Completing the Grade of X, in consultation with the student. This is a contract on what must be done. You and the student must agree on a deadline for completion, which can be no later than one year after the end of the semester. It can be sooner.
* You and the student must sign the contract.
* You should then email the contract to me for my signature.
* I will then sign it, forward it to the dean's office for official filing, and then send a copy of the signed form to both you and the student.
* You should then enter a grade of X for the student.
* When the student completes the contract, you must fill out the following online form: https://dms.tamuc.edu/Forms/xiremoval
* If the student doesn't complete the work by the deadline, or if you do not fill out the online form, the grade will automatically change to an 'F'
2. Every semester in which a student enrolls in Phys 518 (Thesis), you should give the student a grade of "I"
* This is true EVEN IF the student has successfully defended and submitted their thesis in that semester.
* The grad school will change the grade to "S" once the thesis has been approved by the graduate school.
* DO NOT GIVE A STUDENT A GRADE OF 'S' ON PHYS 518, EVER.
* DO NOT GIVE A STUDENT A GRADE OF 'X' ON PHYS 518, EVER.
* If you wish to give a student a grade of 'U' (unsatisfactory) for Phys 518, talk with the department head and the grad school in advance to discuss this.
In short: incompletes in any class other than Phys 518 Thesis should be given an X and file the plan for completion. Phys 518 always gets a grade of I, unless the student work is unsatisfactory.
