Hello Dr. Adewale!

I hope you are doing well. Please see below for the information sent to students regarding how to leave their spring housing assignment early and/ or cancel an existing meal plan. If you have students with questions, there is a link here to a great FAQ page and a contact email should the FAQ page not meet their needs. I was wondering if your office planned to reach out to international students, and if you or somewhere else on campus would be a resource for those international students who may need assistance changing flights, etc. to get home. We are a little concerned that if students wait until May, their planned flights may be canceled, or flights to some countries may be halted. Please let me know how/ if I can assist.

Best,

Julia

Subject: Texas A&M-Commerce Room and Board Rebate (Spring 2020)

Good evening McMurray,
I hope you and your family are staying safe and healthy. Thank you for your patience during this time of uncertainty. Please find below information from the University concerning room and board rebate, and for those who will still need housing and dining for the rest of the semester. Please direct any questions to roomandboardrebates at tamuc.edu<mailto:roomandboardrebates at tamuc.edu>.
All the best,
Michael Stark, Director
Texas A&M-Commerce Room and Board Rebate (Spring 2020)

Texas A&M-Commerce remains committed to keeping our university open for all students who wish to be here in order to provide a safe environment to continue your education online but also to have the services you need for success, including housing, food services, medical care and internet access. However, we realize that some students may decide that the best choice for your family is to return home for the remainder of the spring semester.

The university will continue to keep residence halls open for students who decide to remain on our campus. Those students who reside in the campus residence halls and choose to move-out prior to the end of the Spring semester and seek a rebate can do so at this time. Students who have prepaid for housing and dining costs and choose to move out will need to complete the Spring 2020 Credit Form and will receive a prorated credit as of March 25, 2020 or the date they choose to move-out if after March 25, for unused housing and dining services between March 25, 2020 and May 8, 2020. Students who are on a room and/or board scholarship or whose room and board is paid for by the university (Honors College, Intercollegiate Athletics, Band, Music, third-party, resident assistant, RLL staff, etc.) are not eligible for this rebate, these rebates will be credited back to the awarding department -- not to the student's account. If you have any questions, please contact your awarding department directly.
For those eligible students who complete the Spring 2020 Credit Form, a credit of the unused portion of housing and dining services, at the option of the student, will be credited to the student's account for either the Spring 2020 or Fall 2020 academic semester. Those housing students that choose a Fall 2020 academic semester credit will also be awarded a $500 university scholarship to be applied to their account in the Fall of 2020. Refunds that students receive will be subject to the student's account balance after the credit is applied taking into account financial aid received, and any outstanding balance owed to the university. For example, a student who receives a $1,000 prorated refund and has a balance owed of $500 on their student account will only receive a refund for $500. Students are asked to consult the university financial aid office, as these credits may have an impact on financial aid eligibility. Please see the TAMUC Spring 2020 Room and Board Rebate Process Flow Chart.
In order to apply for the credit, students will need to complete the Spring 2020 Credit Form online in their MyLEO Housing Portal<https://leoportal.tamuc.edu/> and schedule a move-out date. Applications will not be processed and prorated credits will not be applied for move-outs after April 26, 2020 and all students will be required to move personal belongings out of the residence halls by the close of the Spring academic semester on May 8. To meet CDC guidelines and maintain social distancing, student move outs will be coordinated by a scheduling system facilitated by residential life staff.
Students who only have a dining contract will also need to submit the Spring 2020 Credit Form online in their MyLEO Housing Portal<https://leoportal.tamuc.edu/>, indicating their intent to not return to campus. Those students will also receive a prorated credit as described above that will be applied to the Spring 2020 semester and will not be eligible for the $500 credit in the Fall 2020 semester. Please refer to the Spring Residential Living and Learning Rebate Frequently Asked Questions for additional guidance. Students that have questions can email roomandboardrebates at tamuc.edu<mailto:roomandboardrebates at tamuc.edu>.

Q: I moved out prior to March 25, 2020. Will I get a credit for these days as well?
A: Because this is an exception to the university move out policy and in order to ensure that credits are applied equally to students, the university has decided to start the proration period on March 25, 2020. However, the university has extended this to May 8, the last day of the semester, even though most students do not traditionally stay in the residence halls that long.

Q: I am an Honors College student or a student that received a scholarship (Athletics, Music, Band, etc.) or grant that paid for my housing and/or meal plan. Will I receive the credit?
A: Any students who are on a room and/or board scholarship, or whose room and board is paid for by the university (Honors College, Intercollegiate Athletics, Band, Music, third-party, resident assistant, RLL staff, etc.), are not eligible for this rebate. These refunds will be credited back to the awarding department -- not to the student's account. If you have any questions, please contact your awarding department directly.

Q: In what semester will I receive my credit for my housing and meal plan that was not used?
A: As part of the 2020 Request for Credit Form, students will be able to request the credit to be applied to their Spring 2020 account balance or their Fall 2020 account balance. Those housing students that elect to apply the credit to their Fall 2020 account balance will also be awarded a $500 scholarship, to be applied to their Fall 2020 account, in order to assist them in continuing their studies at the university.

Q: Will this credit impact my financial aid?
A: Credits to students' accounts during any semester could have an impact on financial aid eligibility. Therefore, students are encouraged to consult the university financial aid office when determining if they should petition for the credits or how to apply them to your account.

Q: I am graduating or won't be returning to the university. Why can't I just get a cash refund instead of credits to my balance?
A: Potential refunds that students receive will be subject to a student's account balance after the credit is applied taking into account financial aid received, and any outstanding balance owed to the university. Students are asked to consult the university financial aid office, as these credits may have an impact on financial aid eligibility.

Q: Can I just get a cash refund instead of a credit to my university account balance?
A: Potential refunds that students receive will be subject to a student's account balance after the credit is applied taking into account financial aid received, and any outstanding balance owed to the university. Students are asked to consult the university financial aid office, as these credits may have an impact on financial aid eligibility.

Q: When will I receive my credit?
A: Credits will be processed by the university as soon as possible after move-out is complete. If credits result in a rebate being owed to the student, those rebates will be processed per university policy.

Q: I have already moved all of my personal items out of my residence hall. Do I still have to complete the application for credit and schedule a move out date?
A: Yes, you still need to complete the 2020 Request for Credit Form online in your MyLEO Housing Portal<https://leoportal.tamuc.edu/>, (Additional instructions in Application).

Q: I am no longer living on campus, but all of my personal items are still in my residence hall. What do I do to get the credit and move out?
A: You need to complete the 2020 Request for Credit Form online in your MyLEO Housing Portal<https://leoportal.tamuc.edu/> and schedule a move-out date using the links below.

Q: When can I move out and is move out affected by the current shelter in place?
A: You need to schedule a move-out date using the links below. Move out dates will be scheduled in order to ensure that the university is protecting the health and safety of our staff and students by preserving social distancing. We realize that move-outs may occur over a period of time and some students can need additional time to move out because of family and travel situations. The deadline for move out for students remaining in the residence halls for the Spring semester is May 8. Once a student has completed the 2020 Request for Credit Form and the credits have been processed, their access to the residence halls will be restricted. The shelter in place or stay at home order does not apply to move out as this is interpreted as moving of essential living items.

Q: I do not live in the residence halls, but I have a commuter meal plan. Can I still get a prorated credit?
A: Students who do not have on-campus housing but have a dining contract will also need to submit the 2020 Request for Credit Form online in their MyLEO Housing Portal<https://leoportal.tamuc.edu/>, indicating their intent to not return to campus. Those students will also receive a prorated credit based on the same process for housing students.
Q: How much is my credit going to be?
A: Each student's credit will be different based on the semester housing and meal plan options that the student chose at the beginning of the semester, and the date of move-out no earlier than March 25, 2020. The proration will be based on a daily rate calculation for both housing and meal services.

Q: Will the university assist with my move out and provide move out equipment?
A: No, because of the preservation and social distancing and the inability to ensure that equipment is properly sanitized for the safety of the community, university staff and equipment are not available to assist with move out.

Q: Will I need to clean my room before I check out?
A: Furniture will need to be moved to its original location, place all trash in dumpsters, and clean to the best of your ability given each student will only have a limited amount of time to move out based on the move out schedule.

Q: I still have questions about housing and meal plan rebate. Is there someone I can reach out to?
A: Students who have questions can email roomandboardrebates at tamuc.edu<mailto:roomandboardrebates at tamuc.edu>
