Colleagues

At the end of each term, you receive reminders about when grades are due, but we also need to consider one other aspect of the grade reporting process as we finish this last task of the semester.

You'll note that grade reporting asks that you provide the date of last attendance for students receiving an F for the course. The reason you report this date is because it helps establish the date of the student's last engagement with the course for federal financial aid compliance.

A student on aid who fails and has a record of non-attendance is liable for the funds. If the institution cannot document attendance, then the institution is liable for those dollars. This is known as Return to Title IV. Each term, we return tens of thousands to the Department of Education because we do not adequately document attendance.

You need to determine this as nearly as you can for each individual student. You should not report the same date for all students. Last day you physically saw the student in class, last login in D2L, last turned in assignment represent appropriate ways to determine date of last attendance.

Thanks for all that you do.
