Good afternoon,
Administrative Associates, please forward this email to the faculty in your departments. If I have copied someone who is no longer a Department Admin, please let me know and I will remove them from my contact list.
**Please read the entire email, as IMPORTANT information has been provided.**
Final grades, for the following terms, are DUE Monday, May 11, 2020 by 5 p.m..
** All instructors with classes that are scheduled to end after May 8, 2020, marked in RED, MUST submit the grade IP (in progress) into grading worksheets, if students have not already received a letter grade for the course. A Petition for Grade Change form<https://dms.tamuc.edu/Forms/GradeChangePetition> will need to be completed for each student at the end of the sub-term, or as students complete the course, and submitted to the Registrar's Office for processing. The reason for this is to insure that all student Academic Transcripts reflect classes that are still in progress at the end of the Spring 2020 semester.

**Please provide the last date of attendance/participation for all students with the grade of 'F'. IF the student has never attended/participated, please input zero (0) hours into the Hours Attended column, instead of entering a date.** If you are unable to submit this date due to an error message, please email me the date and I will manually update your roster. This information is needed for Financial Aid processes.

If you are assigning Incomplete (X) grades:
The grade of "X" must be submitted into grading worksheets. The incomplete grade of "I" is for Thesis and Dissertation ONLY.
If you are teaching Developmental Coursework courses MATH 131, MATH 120, or ENG 100, please follow the instructions below:
Instructors will use the "R" option then the letter grade. The scale will look like this:
RA: A
RB: B
RC: C
RD: D
RF: F
If you are teaching Thesis and/or Dissertation courses:
Doctoral students in 718 should be assigned a grade of 'I' or 'U'. 'I' is for making progress in their dissertation during that term and 'U' is for unsatisfactory progress in their dissertation during that term.
Masters students in 518 should be assigned the grade of 'I'.
**Any grades not submitted on time will require the submission of a Petition for Grade Change form<https://dms.tamuc.edu/Forms/GradeChangePetition> for each student, in order to post the grades. Approval from Instructor, Department Head, and Dean are required. Class rosters (with final grades) that are attached to multiple Petition for Grade Change forms will NOT be accepted; a completed form is required for EACH STUDENT.
If you receive this error message: com.ellucian.sso.exception.ApplicationException: UDC Id not available, please contact the IT office at 903-468-6000 for assistance.
Please note, the prompt submission of grades is imperative for staff to complete their end of term processes.
There are several processes affected by final grades for each semester. Some of these are:
* Financial aid eligibility determination
* Graduation check out
* Academic action assessments
* Student registration in future terms
* Final transcript calculations for our students
* Academic appeals for future semesters
None of these can be done without all grades for individual students.
Also, when completing the grading process, please be aware of FERPA regulations and guidelines, which can be found at the following address: http://www.tamuc.edu/admissions/registrar/documents/Ferpafacultystaff.pdf Grading information is considered non-directory and cannot be shared openly amongst a class or department. We appreciate your attention in this matter.
If you have any additional questions, please feel free to contact me for assistance.
Thank you,
Breanna Ashmore
