Coordinator, Academic Records

Job Description:
The Coordinator of Academic Records is responsible for coordinating the student appeal process, records retention procedure, commencement, catalog content for the Office of Academic Records/Registrar, revising website content, and student requests. Also responsible for ensuring the accuracy and timely communication with student and stakeholder inquiries. Manage the communication plan of the office along with cyclical, term processing. Supervises 1-full time staff position and up to 4 work study student employees. Responsible for supervising the document retention and scanning activities of the office. Reviews university, state, and federal policies, rules, and laws regarding document retention and the Family Educational Rights and Privacy Act (FERPA). Responsible for handling special requests from students and communicating with governmental entities.
Reviewing, responding, and advising students appealing issues to the Office of Academic Records. Coordinates the document retention efforts and provides general oversight and coordination for two commencement activities each year. Manage communication efforts regarding registration, non-payment of tuition and fees, and disclosure information. Reviews, updates, and suggests content for applicable Office of Academic Records sections of the catalog and website. Maintain a working knowledge of FERPA (Family Education Rights and Privacy Act), the Buckley Amendment to FERPA, directory information and the Texas Open Records Act as they relate to student records. Maintains security and confidentiality of academic and biographical data on matriculated students. Assist with Records Processing. Communicates with governmental agencies regarding student academic issues. Other duties as assigned.

Minimum Requirements:
Bachelor's Degree from a regionally accredited, non-profit institution of higher education.
One year experience in enrollment management or student services.
Must have experience with PC and student databases. Ability to handle stress of short deadlines and heavy workloads. Must have excellent interpersonal skills including sensitivity to effectively manage student concerns. Strong written and oral communication skills to communicate policies and procedures clearly and accurately with external and internal contacts. Ability to prioritize and work under pressure, detailed oriented, a self-starter and anticipate needs of the office. Ability to maintain a high level of confidentiality.
Security sensitive position - must pass a criminal history and motor vehicle records check before an offer will be made.

Preferred Requirements:
Master's Degree from a regionally accredited, non-profit institution of higher education.
Two years of experience in enrollment management or student services.
Experience with PeopleSoft, document retention/scanning software, and one year of supervisory experience.

Hiring Range: $2975.63 to $3780.53 per month
